What to Do When a Client Wants to Ship Us a Hard Drive

First, send the client our proxy spec sheet for shipping information. Packages should be addressed as follows:

The easiest way for TechOps to ship the drive back is for the client to include a return label when shipping the drive (Preferably a Fedex label because we have an account with them). Otherwise if the client has a Fedex account, they could also give us their information and we can charge it to their account.

 

If neither of those options are viable, we’ll calculate shipping on our end once the drive is received, and then let the client know the shipping cost (plus a 35% markup), and add the fee to the final invoice. If we’re calculating shipping on our end, we need to know who/where we should ship the drive back to. They’ll also have to let us know if they want expedited shipping/what kind of turnaround they need.

 

Additionally, we'll need a phone number of a person we can contact if there are any issues with the drive or the shipping (plus FedEx requires one).

 

Please ask clients to give us tracking information so we know when to expect the drive on our end. 

 

TechOps will let you know through email what we find on the drive once we have it, and give you an ETA on how quickly we can get a proxy video out to production (we'll need to make a proxy manually because these tend to be large files and clients rarely include a small proxy alongside the master). You'll see an intake notification like normal once we've sent the proxy over.

 

Whenever we get files back from production we'll do the embed, put the new embedded version of the master on the drive (we leave the original on it and add _CC to the version we created) and handle the shipping through the Fedex Dropbox in IMS. We will forward the tracking number on to you (and the cost if applicable) via email, and list the details in the order message as well.
