If a client doesn’t want to create an account for our main Media Shuttle Portal (Share) for file transfers and the deliverables for their project are too big to be sent via Ooona, the next best thing is to use a Captionmax Send link.
Media Shuttle maintains a few different types of portals. For example, Captionmax United is a Share Portal and you can read more about it here. Another type is a Send Portal. Send Portals allow for open or access-controlled deliveries to external recipients. URL links are generated for recipient access, but the actual files are still stored locally, so accessing the link opens a connection for recipients to download the files from Captionmax’s on-premises storage.
Captionmax maintains one general Send Portal used mainly for delivery of client final deliverables that are too large to attach in emails, such as Description WAV audio files and various TechOps-processed video files. The Send Portal is also used for quick internal transfers of larger, non-emailable files between departments. To use the Send Portal you must be added to it by TechOps. It will then appear as an option in the dropdown list when you log in with your regular Media Shuttle credentials.
When you log in to the portal it will open a page like this:
It’s very similar to emailing a file. In the 'To' box you add the recipients' email addresses with semicolons dividing them. Then click and drag the file(s) you want to upload over to the box and the file name(s) will appear there when it's attached. Enter your email address in the 'From' box.
The 'Optional Message' is basically an email Subject Line so you can put the Project Name or a descriptor there. If you don't add a message the subject line will default to the file name(s). If you don't see the 'Optional Message' box you will have to click 'More' and then 'Add a Message' and the box will appear for you.
When you click ‘Send’ it will bring you to an upload page with a loading bar. Once the upload completes Media Shuttle will send you a confirmation email like this:
You can see that the Subject line reads ‘Content Upload Complete’ and then a duplicate of the text that was entered in the Optional Message. The emails always come from portals@mediashuttle.com.
In the body of the email it lists all the recipients of the Send link, and then the link itself, which you can also use should you need to re-download the asset(s).
In the bottom right you can see the expiration date. All Send links expire 30 days after they were sent. Occasionally Send links do get caught in spam filters so if a client doesn’t see their Send Link arrive they should check their junk mail, then contact their IT department (after we've verified that it was actually sent successfully from our end). |
